Role Purpose:
To support he Personal Assistant with general administration and office duties whilst being the focal point of contact for all project staff.
Duties:
* To provide an effective and confidential administration service, namely holiday trackers, programme resource sheet, and to ensure an efficient filing administration system is in place.
* Diary management where necessary.
* Booking meeting rooms and maintaining key calendars.
* Check PMO inbox daily - forward, file, action emails as appropriate.
* Check PMO diary and ensure meeting rooms are booked.
* Collecting tea/coffee orders and stocking fridge with milk on a weekly basis.
* Collecting fruit every Tuesday morning from reception and returning baskets on a Thursday evening.
* To manage the booking of meeting rooms, equipment, and refreshments.
* Preparing documentation in readiness for management meetings.
* Supporting wider programme teams with meeting room bookings/IT support.
* Ownership of IT ordering for all new starters and current employees. (Onboarding)
* Managing leavers process in relation to IT accounts/equipment. (Offboarding)
* Induction for new starters, document upkeep, laptop, passes.
* Event organising, conferences, staff briefings, breakfast briefings, including hospitality and managing attendees and venues.
* Meet and greet visitors at all levels of seniority.
* To provide assistance to other members of the team as and when required.
* To carry out any other duties appropriate for this post.
Skills & Experience Required:
* Considerable experience in similar role and a similar size business.
* Excellent Microsoft Office skills, including Outlook, MS Word, Excel, PowerPoint.
* Be able to demonstrate an ability to work in a fast-paced environment.
* Experience working within a project with varying levels of management.
* Exceptional communication and organisational skills, as well as a solid team ethic, the ability to multitask and meet tight deadlines where necessary.
