The overriding responsibility of the receptionist is to ensure the smooth and efficient allocation of the Neelands house facilities and that all visitors to reception and incoming communications are greeted and dealt with in a professional and efficient manner.
-Responsible for the overall management of the reception function including other reception personnel. Ensures a professional and courteous service is provided to all parties at all times by the front of house team.
-Manages the general everyday operation of the available room facilities within Neelands house (Bentley Doncaster).
-Assist with general administration
-Ensure stationery supplies are kept well stocked
-Receive all incoming calls to the office in a polite & efficient manner
-Direct calls to the appropriate personnel
-Effectively handle general customer enquiries Arrange meetings and refreshments/ lunch where required, ensuring that the meeting room has the necessary facilities/equipment in advance.
-Deal with incoming and outgoing post including booking couriers, taxis, etc.
-Monitor and record all visitor details
-Place stationery orders with suppliers
-Assist Administration department with general administration
-Assist with customer service/complaints enquires
-Carry out any other ad-hoc duties appropriate to this role
-25hr working week, with an element of flexibility.
-Permanently based in Neelands house. Doncaster.
-Ensure a flexible approach should the need arise to travel to undertake any relevant training.
Skills / Knowledge / Experience & Qualifications:
-Previous experience of reception duties. Required.
-Professional approach. Required.
-Good organisational skills. Required.
-Must maintain and reflect the professional image of the company. Required
-Intermediate to advanced Microsoft office.
-Educated to a good level of English and maths O level or GCSE equivalent
-Has the functional and technical knowledge and skills to do the job at a high level of accomplishment.
-Spends his/her time and the time of others on what is important.
-Is effective in a variety of settings, one to one, small or large groups, with peers, direct reports and managers.
-Can manage projects and resources (people, material, support to get things in an effective and efficient way.)
-Be prepared to attend courses and take opportunities for further development.
-Be familiar with, and demonstrate commitment to, the requirements of IFE, and the Health & Safety and Environmental Policies.
-Maintain a clean and tidy work location.
-Reporting all near misses, incidents, accidents, unsafe acts and substandard conditions / materials to the Facilities Manager / relevant parties immediately.
-Fully understand site safety rules and Our Way of Working.
-Only undertaking work trained for unless supervised and in training for a specific task.
-Lead by example to promote an Injury Free Environment at all times.
-Demonstrates a keen interest in green that is regularly shared and taken up by others.
