1st Step Solutions have an exciting opportunity for a PA/Office Manager to join an award-winning consultancy in London.

You must have excellent management and organisational skills with a keen eye for details.

- Reproduction of letters, reports, minutes etc via dictation and audio typing, processing general correspondence
- General typing duties including production of specifications, reports, minutes and presentations
- General office management including but not limited to maintaining accurate building documentation, adherence to H&S requirements, procurement of equipment and other items, ensuring smooth and efficient
- Running of the office and adherence to policies and systems, office welfare and consumables.
- Dealing with incoming and outgoing post, screening telephone calls, enquiries and requests
- Organising and attending senior management meetings
- Preparation of Board and Management Reports and ensuring the
- Directors are well-prepared for meetings
- Delegated responsibility and ownership of smaller projects - such as procurement and onboarding of office suppliers
- Liaising with clients including arranging meetings, welcoming and looking after visitors
- Checking and managing director(s) e-mail accounts, diary management and arranging appointments
- Facilities Management including control of budgets and troubleshooting over-expenditure
- Organising audio and video conference calls
- Organising and storing paperwork, documents and computer-based information
- Making national and international travel arrangements for the directors and engineering staff
- Audit and administration of holiday entitlements, expenses and timesheet procedures for engineering staff
- Devising and maintaining office systems to deal efficiently with information flow, filing, archiving etc
- Carrying out background research and presenting findings into subjects the Director is dealing with
- Liaising with other Directors regarding decision making and delegating work to others in their absence
- Providing support at annual corporate events
- Flexibility to assist Directors in meeting business/project deadlines
- Local Health & Safety for the office - including ensuring compliance of risk assessments, PPE, fire alarms, etc
- Finance responsibilities including invoice reconciliation and raising purchase orders
